This article reviews how to use the QuickBooks Invoice Queue on the Manage Invoices page and resolve the most common errors.
Using the Queue
After you export an invoice from Admin > Manage Invoices, it populates in the QuickBooks Invoice Queue. Once you queue an invoice, it exists in the invoice queue indefinitely.
You can filter by an invoice’s 'Queue Processing Status' at the top of the page with the following statuses.
- Completed: shows all invoices that were successfully sent to QB
- Failed: shows all invoices that failed
- Queued: shows all invoices that are queued to send to QB
- All: shows all invoices in the queue
To generate a report of an invoice, select it from the grid, then click Run Report. An invoice populates with the ability to export.
If you need to make changes to an invoice, remove it from the QB Invoice Queue by selecting it from the grid and clicking Delete Queue.
After correcting failed invoices, click Retry Export to re-queue the invoice.
To exit the QuickBooks Invoice Queue and return to the main Manage Invoices page, click Close.
When there is an error that causes the invoice to fail, those errors are visible in the Failed filter. The grid contains a 'Notes' column that includes any error messages that inform you why the invoice transfer to QuickBooks failed.
Common error #1
Problem: Billing items between QuickBooks and 3PL Warehouse Manager do not match.
Solution: Update items in QuickBooks to match billing items set up in 3PL Warehouse Manager's Billing Wizard.
Common error #2
Problem: Customer names in QuickBooks do not match Accounting Customer names in 3PL Warehouse Manager.
Solution: Navigate to Customers > Manage Customers > Edit > System, locate the Per Transaction Options section header, then confirm the 'Accounting Name' field matches the name of the customer in QuickBooks exactly. If not, make them the same.
